New Matrix Booking web application

We’re getting ready to launch the redesigned Matrix Booking, featuring a cleaner look, a smoother, more accessible experience, and a number of new features — all while keeping the functionality you rely on today.

From 30 October 2025, administrator users will see a link in the current web app to switch to the new version. This gives you a chance to explore the updated design, get familiar with what’s changing, and update any internal guidance or screenshots ahead of time.

The full switch will take place on 11 December 2025, when all users will automatically move to the new version at the same address: app.matrixbooking.com

Timings and migration

As a summary the timelines are below showing when the new version becomes available for administrators, when it is available to general staff and when the existing Matrix Booking will no longer be available.

We’ll keep you informed as we approach the change and more detailed supporting guidance will be provided including a webinar for all customers nearer the time. In the meantime, your Customer Success Manager is happy to answer any questions or help with planning.


Improving accessibility

Matrix Booking has an ongoing commitment to provide inclusive and accessible software.

In 2024, we embarked on an ambitious project to rebuild our web-based booking app to meet level AA standards of WCAG 2.2. To help us achieve and maintain our objective, we worked with The Digital Accessibility Centre (DAC) and followed their audit and accreditation process. Most of their user testing team have a disability and bring first-hand experience to their role.

We've now completed the audit and accreditation process with DAC for both our mobile app and our new booking journey. This helps ensure that all your employees, including those with accessibility needs, can play an active role in the workplace. They can carry out their work without disadvantages or barriers caused by inaccessible systems.

As well as meeting high accessibility standards, this newly rebuilt app is designed for use on any screen size, including mobile and tablet devices. It also lays the foundations for future innovations as we look to make Matrix Booking even more intelligent and intuitive.

What you’ll have from 30 October – the parallel run

  • Search for available desks, rooms, and other resources.

  • View available search results as a list, on a floor plan or schedule (calendar) view.

  • Make a booking including all the booking settings and options you have today.

  • Use our Find someone feature and book desks next to your colleagues.

  • Change your user profile, information, and preferences.

  • View and edit existing bookings.

  • Check in to bookings, end them early, or cancel them.

  • View the organisation banner.

  • See building and site information for your locations.

  • View resource information (for example, photos or facilities).

  • View your locations on a map and start a search.

  • Access to the Help section and e-learning modules.

  • View expected visitors, update visit details, check visitors in.

  • Create new visits (for both internal and external visitors)

For location managers, location admins, and organisation admins

  • View, edit, approve, reject, cancel and reassign bookings in the All bookings, Cancelled bookings, Awaiting approval bookings, and Orphaned bookings screens.

  • Bulk actions like reassign bookings from the All bookings screens.

  • Manage your organisations setup and configuration via the admin screens as you can today.

  • View reports on bookings, visitors and resource utilisation.

Coming later in 2025/26

  • View and manage work requests.

  • User profile – email notifications and book on behalf.

  • Basket bookings.

  • Event management.

How to access the rebuilt app preview

You can access the preview version of the rebuilt app by following the steps below.

  1. Go to this new web URL: https://app.matrixbooking.com/neo/

  2. Log in to Matrix Booking using your usual login method. If you’re already logged in to the web application, you won’t need to login again.

  3. Once logged in, the New booking home screen will appear.

  • Any bookings or actions you make on this app will also be reflected in the current version of the web app as well.

  • If you need to complete an action and it’s not available on the rebuilt app, use our current app using this URL: https://app.matrixbooking.com

  • This early iteration of the application is by no means considered the finished version. Details on how it will evolve throughout 2025 can be found below.

  • This application only supports making and managing bookings. System administration and reporting capabilities remain in our current app.
