Introducing the redesigned Matrix Booking
We’re getting ready to launch the redesigned Matrix Booking, featuring a cleaner look, a smoother, more accessible experience, and a number of new features — all while keeping the functionality you rely on today.
From 31 October 2025, administrator users will see a link in the current web application to switch to the new version. This gives you a chance to explore the updated design, get familiar with what’s changing, and update any internal guidance or screenshots ahead of time.
The full switch will take place on 12 December 2025, when all users will automatically move to the new version at the same address: app.matrixbooking.com

Timings and migration
As a summary, the timelines are below showing when the new version becomes available for administrators, when it is available to general staff and when the existing Matrix Booking will no longer be available.
What are we doing and why?
New design
We’ve redesigned Matrix Booking with an emphasis on simplicity and usability. It now adapts to work on any screen size, so you can view it on mobile, tablet, or desktop. We’ve also added and improved key features to help you make and manage bookings more efficiently and effectively.
Technical redesign
The front end of our new redesign has been completely rebuilt to make it a smoother, faster, and more accessible experience. It also lays the foundations for future innovations as we look to make Matrix Booking even more intelligent and intuitive.
Accessibility
We’re committed to making our online services accessible to all users in accordance with the WCAG 2.2 level AA standard. To help us achieve and maintain our objective, we worked with The Digital Accessibility Centre (DAC) and followed their audit and accreditation process, which includes technical and manual testing.
Reporting
Gain new knowledge about your buildings and resources with our Insight reporting platform. Its customisable and flexible visualisations help you spot trends and make data informed decisions about your workspaces. Access new and improved dashboards covering booking volumes, resource utilisation and cancellations.
What you’ll have from 31 October – the parallel run

Search for available desks, rooms, and other resources.

View available search results as a list, on a floor plan or schedule (calendar) view.

Make a booking including all the booking settings and options you have today.

Use our Find someone feature and book desks next to your colleagues.

Change your user profile, information, and preferences.

View and edit existing bookings.

Check in to bookings, end them early, or cancel them.

View the organisation banner.

See building and site information for your locations.

View resource information (for example, photos or facilities).

View your locations on a map and start a search.

Access to the Help section and e-learning modules.

View expected visitors, update visit details, check visitors in.

Create new visits (for both internal and external visitors)
For location managers, location admins, and organisation admins

View, edit, approve, reject, cancel and reassign bookings in the All bookings screen.

Bulk actions like reassign bookings from the All bookings screens.

Manage your organisations setup and configuration via the admin screens as you can today.

View reports on bookings, visitors and resource utilisation.

View and manage cancelled, tentative & orphaned bookings in their dedicated screens.
