Why does the room signage ask me to log in to start meetings?
Problem / Question
Why does the room signage ask me to log in to start meetings?
How can I change the room signage so that I can start and end meetings without logging in?
Do I need to log in to start or check in to my meeting?
Does signage support SSO?
Solution / Answer
Digital Room Signage
Booking
When you use digital room signage with Matrix Booking you have a number of options.
The first option is to decide if you want people to be able to BOOK from the signage or simply use the signage to display the ongoing meetings.
If you decide to allow booking on the tablet you can then control how far in advance someone can book from the tablet, ie can I only book for something in the next 15 minutes or can I book for later in the day (you can never book beyond the current day).
Once this is decided then you can decide if you want the person to:
1. Have to log in themselves with full email and password to make the booking in their name
2. Use a drop-down list of names to simply ‘assign’ the booking to someone (eg yourself) without the need to log in
3. Configure the settings to not need a login at all to make a booking and all bookings made on the signage device will be made under the signage log in
(Options 2 & 3 are by far the most popular as people do not like having to type lots on tablets and so by minimising that you encourage more people to use them)
*Starting meetings (check in)*
You have four options for starting meetings:
1. Set it so that meetings do not require starting
2. Set it so that meetings can only be started by an invited attendee of the meeting logging in
3. Set it so that meetings can be started by ANYONE logging in
4. Set it so that meetings can be started by anyone without having to log in (one touch start)
Ending
Ending the meeting follows the same rules as starting meetings, but for ending we always recommend ‘allow anonymous ending’ as people that leave meetings early tend to be so excited about getting some time back they always forget to END EARLY so anything that can be done to encourage this action always helps.
Settings
These settings are all managed in the web app Admin screen not on the signage device itself.
They can be amended at a building level (so they are all working the same) or down at an individual or floor level, so for example everything on 1st floor does not allow booking on the tablet as these rooms are special but the rest of the building requires it. To do this:
1. Click ADMIN
2. Click LOCATION AND RESOURCES
3. Find the resource you wish to edit (Building, floor, zone, room etc) and click EDIT
4. Select the SETTINGS tab and scroll down
*** Please also note that due to the way the signage app works and authenticate it does _not_ currently support logging in with Single Sign on so if your organisation uses SSO then we recommend using the anonymous options for booking or the trusted 'assign a booking to a person' approach ***
