Note: the following only applies to organisations who are sharing resources with other organisations. To set up a shared resource, see our Resource sharing page .
If you’re sharing resources with other organisations and use the Summarise by Group report, it will return all the data of all the organisations that have made bookings. The report will also take into account any other search parameters or filters that you’ve applied. You’ll see the total number of bookings or hours booked for:
your organisation’s groups
the other organisations that have booked your shared resources (not at a group level, but as the whole organisation)
You won’t be able to see the data of other organisation’s groups in the report. All you’ll see is the other organisation’s total number of bookings as a percentage or total number of hours booked. Likewise, they will be unable to see your organisation’s groups percentages or hours.
If you don’t have any groups set up to be reported on, the bookings will be moved to the Unassigned bar. To set groups up for reporting, see our Groups page.
If you want to see just your organisation’s groups, export the data and remove the other organisation’s booking data.
If you’re sharing resources with other organisations and you use the Summarise by Organisation report, the Bookings Summary report will return all of the data of all the organisations that have made bookings based on the time period and location you have used. You’ll see the total number of bookings or hours booked for:
your organisation has made (not at a group level, but as the whole organisation)
the other organisations have made
Tabular breakdowns of the report will be given below the bar chart. they will be represented by the two search parameters that you summarised the report by (for example, Day and Group). To set groups up for reporting, see our Groups page.
