This page explains our email domain migration service and outlines the basic process and cost for email domain migration. For example, if your organisation is moving all of its staff from @yourcompanyname.com to @yourNEWcompanyname.com.

Introduction
Matrix Booking allows Administrators to manually change the email address of any user. The process caters for any business-as-usual tasks, such as staff name changes due to marriage or other formal procedures. If your migration plan for these types of projects involves staff migrating over in small numbers, an Administrator within the Matrix Booking web app making the amendments may suffice. Where the staff numbers are much greater, you may wish to use our email domain migration service.
Our service
With most email address migrations, the process is probably time-sensitive and the email address may not be active before a certain date. Therefore, scheduling and planning is a key element to this type of project.
If you choose Matrix Booking to do this for you, we’ll complete the migration outside of your organisation’s office hours at a cost (see Pricing). This will affect less staff (those who are logged in) whilst the change is being applied. We’ll provide you with a template requesting the current email address and the new email address. Once that has been submitted, we’ll convert the email addresses in non-office hours on the date of your choosing.
As with any bulk or batch process, there’s always a certain amount of manual intervention and preparation. Once we have your template, we’ll preprocess it to ensure the:
format is still correct
data is validated (for example, fully formed email addressed, no spurious characters or spaces or no duplication).
Once a file has completed the upload process, the status is returned (for example, xx submitted, xx success, xx rejected, where xx is an integer value). If there are any rejected addresses, these will be subjected to a further manual check to identify the issue. If the issue is obvious, it will be corrected and resubmitted immediately. If the issue isn’t resolvable by Matrix Booking, it will be returned to you with the details and the rest of the file will be processed. You can resubmit the fill to us.
Pricing
A file can contain up to 10,000 entries. If you wish to have multiple files uploaded over a period of time, the above cost will be applied for every file that’s uploaded. The pricing breakdown is as follows:

Terms and conditions
Our service takes into account one resubmission only. Additional resubmissions will be treated as a new request.

Note: if you have one of our SSO, Microsoft Entra ID, or SCIM integrations set up and have a Unique ID set up for users that isn’t their email addresses, this process should be automatic for your organisation and you won’t need this service.However, you should let your Account Manager know when you’re doing this so we can ensure the changeover runs smoothly.
