Administrator guide – Bookings screen

This page explains our Reports in the current version of Matrix Booking and the Bookings screen in the redesigned version of Matrix Booking as well as Matrix Booking Insight:

Current version – Reports

While some of the reports have been moved to the Bookings screen, all the reports can still be accessed in the current version of Matrix Booking.

New version – Bookings screen

In the redesigned version of Matrix Booking, there are multiple tabs within the Bookings screen you can access the:

  1. My bookings tab

  2. All bookings tab

  3. Cancelled tab

  4. Awaiting approvals tab (formally tentative bookings)

  5. Unassigned tab

All of the above can only be accessed by location managers, location administrators, and administrators.

The Visitors and Work requests have their own dedicated screens.

Matrix Booking Insight

In addition to our Bookings, Visitors, and Work requests screens, we also have Matrix Booking Insight, which gives you interactive data-driven dashboards to show usage analytics of desks, meeting rooms, and more. These analytics show you what happened in the past, what’s happening now, and what’s likely to happen next. Plan smartly for the future, while keeping everyone safe and comfortable today.

Business intelligence for informed decision-making

The idea behind providing your administrators, location administrators, and location managers, with this information is so that you and they can make informed decisions on how your organisation is set up within Matrix Booking as well as the correct utilisation of resources.

For example, if a user leaves your organisation, they can be deactivated and the bookings they had will be orphaned. You can use the Orphaned Bookings report to reassign the bookings to another user.

Note: Matrix Booking has a feature switch that prevents standard users from seeing each other’s external visitors. This feature will therefore keep external visitor information confidential between standard users. Only administrators will have access to external visitor information in the External directory screen. This feature is switched off by default. To switch this feature on, raise a change setup support ticket.
