Welcome to your April product update.
This month we’ve focused on giving administrators more flexibility and control, alongside some meaningful improvements to the booking experience for your users. Read on for everything that’s new.
If you’d like to know more about anything covered here, your Customer Success Manager is happy to help.
So, what’s in this email:
New user administrator role
Previously, any user who needed to manage other users required full administrator access. That’s no longer the case.
The new user administrator role lets you assign user management responsibilities to someone without giving them full admin access. You can either create a new user with this permission or apply it to an existing one. The bookings permission is automatically included.
Once assigned, the user will see the Admin section on their next login. From there, they’ll have access to a focused set of controls covering users, invited users, deactivated users, and user groups only.
Here’s what a user administrator can do:
-
Users: They can create, edit, and deactivate standard users.
-
Invite users: They can invite users to Matrix Booking in the same way a full administrator can.
-
Deactivated users: They can manage deactivated users. They cannot reactivate users with higher permission levels, such as an org admin. The restore button will not appear for those accounts.
-
User groups: They can add or remove booking users from existing groups. They cannot create, edit, or delete groups.
Once a user is granted the User administrator permission, on their next visit to Matrix Booking they will be granted access to the Admin section.
Selecting Admin will launch a stripped down version of the Admin panel, allowing only User control items: Users, Invite Users, Deactivated Users and User Groups.
Multi-organisation visitor management
The Welcome app now supports visitor management for buildings with multiple organisations and shared receptions.
When a visitor arrives, they can select the organisation they’re visiting, enter their details, and search for their host. Multiple declarations are also supported. If a visitor hasn’t completed their declarations in advance, they can do so directly on the Welcome app at check-in.
My Bookings enhancements
We’ve made some significant improvements to the My bookings screen, giving users better visibility and control over their bookings.
See past bookings
My bookings now includes a timeframe selector. As well as upcoming bookings, users can now look back up to 90 days to review past ones.
View cancelled bookings
A new filter lets users see bookings that have been cancelled, along with the reason. This makes it easy for users to understand whether a booking was cancelled due to a no-show or by a location manager or administrator.
Filter by booking owner
A third filter lets users choose which bookings to display: bookings they own, bookings they’ve made for others, or bookings where they’re listed as an attendee. This is particularly useful for users who regularly book on behalf of others, making it easy to focus on their own bookings when needed.
