Welcome to our third product update of 2025. This edition includes several new improvements and further news about our whole application redesign coming in the next couple of months.
As an Administrator or key contact for Matrix Booking, we encourage you to take a few moments to review the updates below.

What's in this update?
1. New Matrix Booking design
We’re getting ready to launch the redesigned Matrix Booking, featuring a cleaner look, a smoother, more accessible experience and a number of new features, all while keeping the functionality you rely on today.
From 31 October 2025, administrator users will see a link in the current web app to switch to the new version. This gives you a chance to explore the updated design, get familiar with what’s changing, and update any internal guidance or screenshots ahead of time.
The full switch will take place on 12 December 2025, when all users will automatically move to the new version at the same address: app.matrixbooking.com
As a summary the timelines are below showing when the new version becomes available for administrators, when it is available to general staff and when the existing Matrix Booking will no longer be available.
We’ll keep you informed as we approach the change and more detailed supporting guidance will be provided including a webinar for all customers nearer the time. In the meantime, your Customer Success Manager is happy to answer any questions or help with planning.
2. Clearer guidance on password resets
We’ve made a small but important change to the message shown when someone tries to reset their password via the web application. We noticed that, in some cases, users were waiting for a password reset email that was never sent because they didn’t have an account with Matrix Booking. To avoid confusion, we’ve updated the wording to make the next steps clearer while still keeping account details secure.
3. View Microsoft Entra ID (formerly Azure AD) secret key expiry date
If you use directory synchronisation then administrators can now see when their Entra ID Sync secret key is due to expire. This makes it easier to keep track and update the key when needed, without sharing it with Matrix Booking staff or raising a support ticket.
4. Microsoft 365 integration – view future bookings before linking resources
We’ve enhanced the integration process between Matrix Booking and Microsoft 365 to give Administrators even more visibility and control.
Previously, when initially linking a Matrix Booking resource to its Microsoft 365 calendar, a warning would appear if future bookings existed in either system. This helped avoid synchronisation issues but didn’t show how many bookings were involved.
With this update, admins will now see the exact number of future bookings in both Matrix Booking and Microsoft 365 at the point of linking. If there are no future bookings on either side, the link can be made instantly, enabling future syncing. This makes it easier to decide whether to clear the bookings, on which side to clear them, and proceed immediately or raise a support ticket for further analysis. It’s especially helpful if only a few test or easily moved bookings are in place.
So if bookings exist in Matrix Booking AND in Office 365 then the following alert will now pop up preventing you from linking the rooms and giving you the information you need:
To resolve this you need to carry out one of the following actions:

Remove the bookings from both Matrix Booking and Office 365

Remove the bookings from EITHER Matrix Booking or Office 365 and request Matrix Booking to carry out a forward booking synchronisation to bring in the bookings from the other system

5. Improved security for uploaded files
We’ve strengthened file security in Matrix Booking by adding virus scanning to uploaded files. This applies to items such as PDFs, images, and documents.
You may notice a slight delay when previewing a file immediately after upload, but this added check helps keep your files and data safe.

7. Additional training and support
As we continually rollout new functions and features, you may find it useful to refresh your knowledge of our product and how it can help your business, especially as everyone's journey into hybrid working is different.
It might be helpful to ensure you and your fellow Matrix Booking Administrators arrange some refresher training. This can be in dedicated sessions or it could be just using the e-learning modules we have available in our free to use Training Hub . Some of the e-learning modules may be useful for your wider teams so please feel free to link to these from your internal knowledge bases, SharePoint / intranet. We will be updating these eLearning modules to reflect the new design in the next couple of months. If you would like to arrange any refresher training for your teams, contact your Customer Success Manager who will arrange this for you.
8. Supporting information
If you change or add new administrators, please do ensure all of your administrators have access to our Support Portal to allow them to raise issues. If you would like a list of which of your staff have access to raise support tickets then please contact your Customer Success Manager.
