How do I change an email address?

Problem

  1. How do I change a users email address?

  2. How can I update a customers email?

  3. Is there a way to change many email addresses?

Solution

There are 2 ways to change email address:

  1. Edit a user’s email address.

  2. Edit multiple users’s email addresses.

Edit a user’s email address

To change a user’s email address:

  1. Access the Users screen.

  2. In the Filter results search bar, enter the user’s name or other identifying details.

  3. Select the vertical three-dots icon next to the user to open the more options menu.

  4. Select Edit [user]. The Edit [user] dialog will appear.

  5. Make the changes you need to on the User Info tab:

    • Update their email address.

    • Select Change Password to update their password.

    • Enter any optional details that may be required.

    • Change their permissions and account type if required.

  6. Select the Book on behalf tab.

  7. Enter the other users’ names that you want to book on behalf of the user you’re editing.

  8. Enter the other users’ names that you want the user you’re editing to book on behalf for.

  9. Select the History tab for more information on what’s happened to that user (for example, date created or deactivated).

  10. Select Save.

  11. To discard any changes, select Cancel.

Notes:

  • If you change any of a user’s details, remember to notify them as they won’t receive any automated notifications.

  • If your organisation uses SSO to log in, it’s not possible to update email addresses through Matrix Booking. Our SSO integration synchronises with your directory (for example, Microsoft Entra ID). Contact your IT team to request this change. Once any change happens in your directory, Matrix Booking will automatically sync and any updates to users’s email addresses will be reflected in the Users screen.

Edit multiple users’s email addresses

If you’re undergoing a bulk change (for example, all staff changing their email domain), it would be quicker to contact your customer success manager and request a “bulk email migration” that our Support Team will carry out for you out of hours. This may involve a small professional services fee.
