Welcome to our October 2025 update - this edition focuses almost entirely on the new relaunch and redesign of the Matrix Booking application.

We’re in the final stages of preparing to launch the redesigned Matrix Booking web application which is faster, more intuitive and built with accessibility at its core.

We’ve reimagined the booking journey using modern design and technology. The new interface works seamlessly across desktop, tablet and mobile, supporting today’s flexible working environments, where people aren’t always at their desks.

It also meets WCAG 2.2 AA accessibility standards, making it easier for everyone to use — not just those with specific needs.

This redesign gives us a stronger foundation to deliver future improvements more quickly. It complements our mobile app and helps us support your evolving needs.

As an Administrator or key contact for Matrix Booking, we encourage you to take a few moments to review the details and dates below.

1. What's changing and when?

From 31 October 2025, administrator users will see a new banner in the current web application to switch to try the new version. This gives you time to explore the updated design, get familiar with what’s changing and most importantly, update any internal guidance or screenshots you may have.

From 12 December 2025, all users will move to the new Matrix Booking. After this date, switching back won’t be possible.

Important: in terms of your data and settings, this is a visual and usability update only.
Your existing bookings, locations, hierarchy and settings will remain exactly as they are. Nothing is being moved or changed behind the scenes — this is simply a new way of viewing and interacting with the same information.

2. What you need to do

  • Review and update any internal processes or documentation you might have before 12 December 2025.

  • If you have change management processes linked to Matrix Booking, make sure they’re updated ahead of the switchover.

  • Watch our quick guide video to get started with the redesigned Matrix Booking.

3. Join our live pre-launch webinar

In order to give you, as administrators, even more advance access to the new design, on 29 October 2025 at 11am (GMT), we’re hosting a live webinar where we'll walkthrough the new experience. We’ll show you what’s new and answer your questions.

4. Meet the team

We recently attended Facilities & Estates Management Live, where we showcased Matrix Booking and connected with professionals across the facilities management community. Our own Matt Bailey also spoke in the Innovations Theatre, sharing insights from our independent research into booking systems.

It was great to see such strong organisation and energy at a brand-new event for Facilities Managers and we’ve already signed up for next year!
