Hello,
As companies are now having to adjust their return to work programmes in near real time we have been working very closely with our customers to understand the areas where we can help the most.  This month sees a number of exciting new features across web and mobile apps to support the challenges we all face in the short to medium term.
In addition we do have an exciting pipeline of other features that we are looking forward to sharing with you very soon.

New in the web application this month

Restrict desks and rooms to one booking per day

A new setting has been introduced to prevent resources being booked more than once a day (this has been an extremely popular request from customers during the COVID19 / Return to work plans).  This feature helps to reduce the risk of spaces being used by multiple people during a single day. This can be enabled for desks or rooms and you can enable this on an individual desk or room, group, floor or building and this setting can be found on the Settings tab of the edit resource page:

If a resource is booked and then cancelled before it starts, then this resource can be booked again on that day. However, if a resource is booked and the booking is ended early, then this resource cannot be booked again on that day. When the setting is on and there is already a booking, the availability results will show the times before and after the existing booking as unavailable on that day. If a user attempts to create a booking when there is already a booking, an error message displays and the booking cannot be saved:

Sensors on floorplan

Following on from launching the ability to book using a floorplan on the web, we have now added the ability to view some sensor information on top of this.  This will allow you to see if a desk is available (booking) but also see if it has been occupied recently - which again is something a number of customers have been asking for recently. An example of the floorplan view with a sensor status is shown below:

If you would like to use Floorplan on the web or would like to find out more about adding sensors in to enhance the view then please contact your account manager  to discuss enabling this for your organisation.

Teams online meeting in the meeting invitation when an O365 resource is booked

When an organisation has O365 resources, it is now possible to create a booking in the Matrix web app or mobile app with a Teams online meeting. The meeting will then appear in the users calendar as though the Teams meeting had been created in Microsoft Outlook. A link to join the online meeting will be included in the meeting invitation when an O365 resource is booked:

If you would like to discuss adding Microsoft 365 and or Teams Online Meeting Integration to your setup then please contact your account manager .

Additional fixes in this release

  • Resizing the screen on the login/sign up screens was breaking the screen layout for IE11, this should no longer happen.

  • A small margin on the left was causing a horizontal scroll bar to appear occasionally, this has now been fixed.

  • When viewing the 'Media' tab in the Edit Building mode, the buttons were overlapping text boxes, this has now been fixed.

  • The web app login screen was displaying incorrectly when entering an incorrect password on IE11, this has now been fixed.

Our new support tool

By now those of you that are administrators or IT support should have received an invite to register for our new support portal. This portal is tied much more closely to our development teams so means we have a much better all round picture and can respond to you even quicker.

As the needs of our customers continues to grow and evolve we need to be ever more agile and reactive to match and hopefully exceed these.  Part of this evolution includes continued review of our hosting solutions and technology platforms.  You will have seen recently we migrated to a new support portal and over the next few weeks we will be moving our backend databases from one technology to another.

We have long been a partner with Amazon AWS and have used them in various places across our product, however we will now be consolidating even more of our product on to Amazon solutions. We do not anticipate any disruption to your service, however should you wish to make note of the details, dates and check the status of these and any other planned maintenance we do have a 'status page' that will provide this information in real time.  You can find this page here:

Floorplan on mobile

With the addition of Floorplan booking on the web, customers were also very keen to see this extended on to mobile.  So we are very happy to announce that the latest releases of both the Apple (iOS) and Android version of our mobile app now include the ability to book via the floorplan.  Of course you do need to have uploaded a floorplan to begin with and mapped your rooms or desks, but after that it will automatically be displayed when using the latest version of the app (both available now in the Apple App Store and Google Play Store).
