This Fair Usage Policy (the Policy) ensures the optimal performance and availability of Matrix Booking's resource booking system (the Service) for all customers. By using the Service, you agree to comply with this Policy.

1. Intended use

The Service is designed for businesses to manage and optimise resource bookings quickly and efficiently. Normal usage is defined as using the Service within reasonable limits that align with general industry standards and the purchased subscriptions (resources).

2. Misuse and overuse

To maintain a high-quality experience for all users, the following activities are considered misuse or excessive use:

  • Unreasonable volume of bookings: creating an excessive number of bookings, cancellations, or modifications that significantly exceed normal business operations (without prior notification and or consent).

  • Automated or unauthorised access: using scripts, bots, or automated processes - including Artificial Intelligence (AI) or AI products and processes to generate bookings or extract data beyond normal usage (without prior notification or consent).

  • Disruptive behaviour: engaging in activities that negatively impact system performance, such as continuous high-frequency Application Programming Interface (API) calls outside agreed limits.

  • Reselling or unauthorised use: sharing access, reselling, or repurposing the Service beyond the terms of the subscription agreement for your organisation.

3. Enforcement and remedies

If we determine that your usage exceeds fair limits or disrupts other users, we may:

  • Notify you and request corrective actions (all occurrences will be raised in this way in the first instance).

  • Apply temporary rate limits or restrictions (including temporarily deactivating individual accounts).

  • Require an upgrade to a higher-tier subscription if sustained high usage is necessary.

  • Suspend or terminate access for persistent violations.
