Common Microsoft 365 integration errors and issues

When using Matrix Booking with our Microsoft 365 integration, some of the functions work slightly differently as the resources (the rooms) need to be controlled from your Microsoft 365 environment and copied in ours. This synchronisation can lead to some errors or issues.

Below are some of the most common or frequent you may come across:

It is not possible to update the calendar provider information for this location as subscription messages exist.

You may want to remove the calendar provider from a room. As it’s already synchronised, this error message will occur as you have bookings associated with the room that have been processed by Microsoft 365.

Currently, the system doesn’t allow the removal or change of this integration with an external calendar as it can lead to a room in Matrix Booking having invalid bookings that may need to be corrected.

Raise a support ticket so that our Support Team can manually update this to remove the integrations for you.

Let us know:

  1. What locations or rooms you want removed from the integration?

  2. What you would like done with the existing bookings for those locations or rooms in Matrix Booking.

Once removed from the integration, we can’t investigate any further issues you may have in those locations’ or rooms’ calendars as we’ll be removing all message and booking history from Microsoft 365.

Unable to book

Bookings with multiple meeting rooms are not currently supported

You may have basket bookings or event management set up for your organisation. As Microsoft 365 doesn’t have this feature, our integration can’t support multi-bookings.

The rooms must be booked individually when using our Microsoft 365 integration.

Unable to book room

Microsoft 365 is showing that this resource is not available at this time.

This error message occurs because a configuration setting in Matrix Booking that ins’t in Microsoft 365.

If this message shows it means there is a booking in the Microsoft 365 calendar that hasn’t synced with Matrix Booking. If you have permission to, edit the booking in Microsoft 365 as this may activate the sync.

If this isn’t possible or it doesn’t appear in Matrix Booking (give a few minutes after editing), raise a support ticket for our Support Team to investigate it.

The Booking could not be saved

The booking is currently undergoing pending changes, please try again.

If a booking is made in Matrix Booking and is immediately edited before calendar synchronisation, this error message can occur.

Matrix Booking “locks” the booking so that no changes can be made until confirmation that the room is available has been received.

Allow a few minutes before editing the booking so that the sync can happen.

If it isn’t “unlocking”, this could mean there is an issue with your Microsoft 365 setup. Ask your IT team to investigate the setup of the room in Microsoft 365.

If they are unable to identify the issue, raise a support ticket so that our Support and Development Teams can organise a call with you to resolve the issue.
