Hello everyone,
Following on from our last update which was quite lengthy ( if you missed it then previous versions are always available here ), this one is going to be quite short as the update is focussed in a very small area in order to deliver an enhancement much quicker than usual.
As always, below is just a quick summary of the update(s), so if you do have any questions about any of these items then please feel free to reach out to your account manager, and if you are not sure who your account manager is then just contact the general account management mailbox.
WHAT'S IN THIS UPDATE
Visitor Management – Check in messages
A new feature has been added to the Visitor check in screens and the ‘Your visitor has arrived’ email that gets sent to a host.
When the reception team or front of house team are checking in a visitor they now have access to a new field labelled 'Message for the host' and this will then add this text in to the automated email that is sent to the host to advise them their visitor has arrived.
Below is a screenshot of how the reception or front of house teams will enter the message:
Below is a screenshot of the new email, showing the previous and the new fields. If the teams do not populate the message field (it is not a mandatory field, then the notification will go out as normal but not have the message text within it.
This feature can be especially useful in a number of scenarios such as:

your organisation checks in visitors that can appear at multiple different receptions - this allows the teams to notify the host where (which reception) to collect your visitor

your organisation checks in a large number of visitors so they point visitors to specific waiting tables - these table numbers can be added to the check in email so the host can go straight to that table

your visitor may have special requests that need to be passed on - these can be now included in the notification to the host
This feature is enabled for all organisations but is only visible to Receptionists, Location Managers, Location Administrators and Full Administrators. Therefore this field cannot be used to pass information to the check in team, only from the check in team to the host of the visitor.

Products no longer available
Following on from our announcement last month, this is just a quick reminder that with the launch of our new Welcome App mentioned above, it now gives us the opportunity to retire a few of our slightly older products. So, with immediate effect we have marked the following three products as END OF LIFE:

Visitor Self Service Kiosk
-
Matrix Flow App
-
Guestbook
As the products are 'end of life', this means we will no longer be selling them or renewing them and instead we will be planning a migration over to the Welcome App and your account manager should already have been in touch with you to discuss migration moving forward.
Therefore if you have one of these products you may well have already been involved in the early trial, but don't worry we will still continue to support the product whilst you have it, and our Account Management team will contact you over the coming weeks to discuss moving to the Welcome App.

Meet the team
The team were delighted to recently attend the Public Sector Proptech 22 conference hosted in London by Public Sector Connect. The event had a great turnout and we wanted to thank our customers who attended for taking the time to say hello and have a drink with us.
During the event we hosted our popular Hybrid and hubs panel debate featuring representatives from Transport for London, Crown Commercial Services, HM Revenue & Customs and TechServ. One of the key themes that came from this debate was the importance of using data to keep a constant review of how office spaces are being used. Our panel felt that office spaces are now becoming more of a venue where everyone has different needs. This can be anything from a desk space to work to a place to collaborate and network with fellow colleagues. One thing we all agreed on is that the experience we have needs to be a positive one and there are many factors that contribute to this even before setting foot in the office.
