Accessibility overview

The Matrix Booking digital team is committed to making our online services accessible to all users in accordance with level AA of the Web Content Accessibility Guidelines (WCAG 2.2). To help us achieve and maintain our objective, we work with The Digital Accessibility Centre (DAC) to carry out AA level technical compliance audits that also include extensive manual testing.

To meet the UK Gov requirement of providing a service that met level AA of WCAG 2.2 by October 2024, we were audited and accredited by DAC for our new booking journey and mobile app. The rebuilt mobile app was released in September 2024 and we released the first version of our new web application in December 2024.

DAC have also provided training and design consultancy for our team. We consider accessibility throughout the design process and review it at key stages including wireframes and prototypes. We also design mobile-first to help with reflow and make our software accessible for all. 

Accessibility testing

We test our web and mobile applications for room and desk booking using assistive technology. DAC’s test team includes people with a wide range of disabilities including blind, mobility, deaf, colour blind, dyslexia, low vision, cognitive impaired, Asperger's, and anxiety. All were able to complete test tasks, such as making a booking, on their own.

Assistive technology

Those using assistive technologies can make and manage resource bookings. DAC used a wide range of assistive technology including JAWS, NVDA, Dragon Voice Activation, keyboard, Windows Magnifier, and TalkBack/VoiceOver. Other assistive technology used in the tests included native functionality and tools in Chrome and Edge for testing reflow, screen magnification, text spacing, and colour inversion. We also use a selection of these assistive technologies in our development stack.

Accessibility limitations 

Key features, such as booking via a floor plan, may present difficulties for disabled users, but more accessible alternatives are provided. Users can also set the default display of availability search results as a list to avoid accessibility issues with floor plans.

Other known limitations include the use of third-party features that cause accessibility issues. These include: 

  • Adobe PDF documents 

  • Google Maps 

We're making every effort to overcome these limitations and aim to provide accessible alternatives where improvements can't be made. 

New web application

In Feb 2024, we embarked on an ambitious project of creating a new web application to meet level WCAG 2.2 AA standard. The first phase of this was to create an accessible booking journey which was audited and accredited by DAC in Dec 2024.

In 2025, we then started to add more features using the same components and design patterns we’d created in our design system. We released the new web application in Oct 2025 to run in parallel with our old one, and in Dec 2025 we switched over all users to the new version.

This website is run by Matrix Booking Ltd, and we want as many people as possible to be able to use this website. For example, that means you should be able to:

  • change colours, contrast levels and fonts

  • zoom in up to 200% without the text spilling off the screen and without content being truncated or overlapping

  • navigate most of the website using just a keyboard

  • navigate most of the website using speech recognition software

  • listen to most of the website using a screen reader (including the most recent versions of JAWS and NVDA)

We’ve also made the website text as simple as possible to understand.

We followed gov.uk guidance on deciding how to check the Matrix Booking website as follows:

  1. We conducted a manual WCAG audit, including testing by disabled users on a representative subset of pages.

  1. We identified the core booking process which included a representative subset of pages that contain examples of the most common layouts, components, and features, including:

  • The header and footer.

  • Important “unique pages”.

  • Pages with text content and data tables.

  • Pages with informational images and images of text.

  • Interactive elements, such as lightboxes, forms, tabbed interfaces, and content filtering.

How accessible this application is 

We know some parts of this website are not fully accessible: 

  • Some images are present which do not add context or content on a page.

  • Some non-interactive elements receive focus when navigating with a keyboard.

  • Some page content updates without advising the user.

  • Page titles do not uniquely reflect the contents of individual pages.

  • Some headings, buttons, forms, lists and visual headings are not marked up correctly to reflect their purpose for screen reader users or voice activation users.

  • Some content within pages has poor colour contrast.

  • Interactive elements are present that do not have a focus indicator to inform users of when their focus is on the element.

  • Some text boxes and dropdown lists do not have a text label or are not marked up correctly to describe their purpose.

  • Content is not able to be viewed without scrolling in two dimensions when the viewport is changed.

Compliance status 

This application is partially compliant with the Web Content Accessibility Guidelines version 2.2 AA standard, due to the non-compliances listed below. 

Non-accessible content 

Some parts of our mobile application may not work for everyone. The content listed below is not accessible for the following reasons.

Non-compliance with the accessibility regulations 

There is a form element present which does not have a label (WCAG success criterion 1.3.1 Info and Relationships (Level A), and 4.1.2 Name, Role, Value (Level A).

This statement was prepared on 8 August 2024. The application was last tested on 24 July 2024 against the WCAG 2.2 standard. The test was carried out by The Digital Accessibility Centre Ltd and included testing by disabled users.
