Can a user be registered to more than one organisation?

Can a user be registered to more than one organisation?
What if it has been deactivated on the old organisation?

Answer

No. Once the user's email address has been registered with one organisation it cannot be registered with another until it is changed or removed from the other.

If the user has been Deactivated on an organisation, the email address used to register them with that organisation will STILL be associated and therefore it cannot be registered with another organisation.

The only way around this is to request that the email address is RENAMED on that organisation. To do this:

Where the user has NOT been deactivated on an organisation and you (as an Administrator) want to register them instead on another:
1. Click on ADMIN (top right of your screen)
2. Click USERS (from the left-hand menu)
3. Scroll down or start typing the User's name (in the Filter field) to search for
it
4. When the user is found, click on their name
5. From the Edit User window, amend their email address in the Email field

6. Click SAVE

Where the user HAS been deactivated on an organisation and you want to register them instead on another:
Note: You may need to reactivate the user first before you can edit them.
1. Click on ADMIN
2. Click DEACTIVATED USERS (from the left-hand menu)
3. Scroll down or start typing the User's name / Email address in the Manage User (search) field at the top
4. A message appears indicating that the user has been deactivated. Click RESTORE
5. The user is now restored and can be found in USERS (from the left-hand menu). Now follow the steps (above) where a user has not been deactivated.

Once they have been renamed then you can register that email in a different organisation (i.e. Go through the process of creating a New User).

The slight exception to this is if you need to do this for a user that is synchronised using ACTIVE DIRECTORY.

If they are synchronised automatically (as part of a daily task at around 4am UTC) the you need to locate the users in the directory (ADMIN / USERS) then deactivate them.

Then locate them in the deactivated users list and reactivate them.

This will give you a small window to carry out the above steps to edit the users email (normally with AD users you cannot edit their email address).

When the daily synch runs again at 04:00 then this person will be broguth back in to your org with that correct email address, so if you need to move them to another org then you need to complete this step BEFORE the daily 'resynch' job runs.
